Job summary
As a GP Receptionist, youll be one of the first friendly faces and voices our patients meet. Youll play a vital role in helping our practice run smoothly, providing a welcoming, professional and compassionate service to patients every day.
We are looking for someone who is friendly, organised, calm under pressure and a great communicator, with a genuine desire to help others.
Main duties of the job
Your key responsibilities will include:
- Welcoming patients to the practice in a friendly, professional and respectful manner, both in person and by telephone.
- Managing appointment bookings, helping patients access the most appropriate service or clinician in line with practice procedures.
- Answering and responding to telephone calls, dealing with queries efficiently and directing patients to the appropriate team or service.
- Supporting patients with a range of enquiries, providing clear information while maintaining a calm and compassionate approach.
- Processing administrative tasks, including updating patient records, registering patients, managing tasks, filing documents and handling correspondence as required.
- Liaising with GPs, nurses, healthcare professionals and the wider practice team to ensure patients receive the right support.
- Handling sensitive and confidential information appropriately and in accordance with GDPR, practice policies and professional standards.
- Supporting the smooth running of the reception area, including maintaining an organised, welcoming and professional environment.
- Recognising and appropriately escalating urgent or safeguarding concerns in accordance with practice procedures.
- Working as part of a busy, supportive team, helping colleagues and contributing to the continued improvement of our service.
Job description
- Welcome and assist patients in a friendly, professional and courteous manner, both face-to-face and by telephone.
- Manage incoming telephone calls, dealing with enquiries appropriately and directing patients to the most appropriate service or member of the team.
- Book, amend and cancel appointments in accordance with practice procedures.
- Support patients in accessing the appropriate clinician or service, following the practice's agreed processes.
- Provide clear and accurate information to patients while maintaining confidentiality at all times.
- Register new patients and maintain accurate and up-to-date patient information.
- Process incoming and outgoing correspondence and undertake other administrative duties as required.
- Liaise effectively with GPs, nurses, healthcare assistants, administrative staff and other members of the multidisciplinary team.
- Identify and appropriately escalate urgent concerns, safeguarding issues or situations requiring clinical or managerial support.
- Handle sensitive and confidential information in accordance with GDPR, practice policies and relevant legislation.
- Maintain a welcoming, organised and professional reception environment.
- Deal sensitively and appropriately with patients who may be distressed, anxious, frustrated or upset.
- Follow practice policies and procedures, including those relating to confidentiality, health and safety, infection prevention and safeguarding.
- Work flexibly across both practice locations when required.
- Support colleagues and contribute positively to the overall effectiveness of the practice.
- Participate in training and development activities relevant to the role.
- Contribute to the continuous improvement of patient services and the smooth running of the practice.

We are a friendly, busy and forward-thinking GP practice serving around 8,500 patients across two conveniently located sites, which are within walking distance of each other.
Our practice is made up of 5 GP Partners, alongside a diverse and supportive multidisciplinary team including salaried GPs, a Practice Nurse, Healthcare Assistants, administrative and reception colleagues, as well as 5 GP Registrars. As a training practice, we value learning, development and sharing knowledge across the team.
Our two sites also work closely alongside pharmacy and diagnostic centre teams.We are also part of a Primary Care Network (PCN), giving us the opportunity to work collaboratively with other local practices and services.
