Job summary

Brunton Park Health Centre is looking for an enthusiastic GP Receptionist with excellent interpersonal, customer service and organisational skills to join our reception team.

Working Pattern -37.5 hour per week working on a rota

Between: Monday to Friday 8am - 6:30pm on rota basis

Main duties of the jobApplicants will need to work both on a busy reception desk dealing with patients over the telephone and face to face, booking and cancelling appointments, guiding patients to use the online consultation tool and also work at the back of reception performing administration tasks, dealing with prescription requests and assisting the triaging doctor with online consultations.

Previous reception and/or customer service skills and knowledge of Systmone are desirable, but full training will be given.

Main duties of the job

This is a busy and varied role which requires a flexible approach; you will need to be able to work using your own initiative and as part of a team, admin experience essential, preferably in a medical setting, flexibility and computer literacy is also essential.

This role will suit a person who is used to working in a busy environment, who is able to provide excellent service to our patients both on the telephone,face to face and online.

Job description

As a GP Receptionist, you will be the first point of contact for patients, providing a professional, friendly and efficient service both in person and over the telephone. You will be responsible for managing appointment bookings, responding to patient enquiries, signposting patients to the most appropriate services, and ensuring accurate information is recorded on clinical systems.

The role involves handling a high volume of e-consultation requests, telephone calls, welcoming patients at reception, and dealing with a wide range of administrative tasks. You will work closely with GPs, Practice Nurse and the wider practice team to help ensure the smooth day-to-day running of the practice and support the delivery of high-quality patient care.

The successful candidate will be expected to communicate sensitively and confidentially with patients, manage competing priorities, and deal with enquiries efficiently while maintaining excellent customer service standards. This is a varied and rewarding role that requires strong organisational skills, attention to detail, and the ability to remain calm and professional in a busy healthcare environment.

Job Responsibilities:

  • Ensure an effective and efficient reception service is provided to patients and any other visitors to the Practice
  • Deal with all general enquiries, explain procedures and make new and follow-up appointments.
  • Using your own judgement and communication skills ensure that patients with no prior appointment but who need urgent consultation are seen in a logical and non-disruptive manner.
  • Action e-consults received via the practice
  • Explain Practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed.
  • Receive and make telephone calls as required. Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery.
  • Enter requests for home visits into the clinical system, ensuring careful recording of all relevant details and where necessary refer to Duty Doctor.
  • Action repeat prescription requests either on the computer via workflow or manually.
  • Advise patients of relevant charges for private (non General Medical Services) services, accept over the counter payment and issue receipts for same.
  • Enter patient information on to the computer as required.
  • Patient notes and correspondence:
  • Ensure that clinical system practice notes are dealt with promptly and all actions taken are recorded appropriately.
  • Ensure correspondence, reports, results discharge letters etc are work flowed promptly using SystmOne and sent to the correct team.
  • Ensure that all new patients are registered onto the computer system promptly and accurately
  • Undertake any other additional duties appropriate to the post as requested by the Partners or the Practice Manager.

About us

Brunton Park Health Centre is a 2 Partner GP surgery which has a patient list size of approx. 8000.

Our reception/admin team consists of 10 people covering the hours 08:00 - 18:30 on a rota basis with a half day each week, we are a friendly team who support each other especially the new members of staff.
