Job summary
We are seeking a dedicated, organised, and motivated Band 3 Support Secretary to join our North East Outreach team, working 15 hours per week (Tuesday and Wednesday), to cover maternity leave for 12 months.
Our service provides specialist community support for deaf children, young people, and their families across the North of England. With outreach teams based in York, Newcastle, and Manchester, we are a passionate and innovative team committed to delivering high-quality, person-centred care. We actively encourage creativity and new ideas to help us continually improve the services we provide.
As the successful candidate, you will become a valued member of a multidisciplinary team that includes Specialist Deaf Outreach Workers, Psychologists, Social Workers, Mental Health Nurses, Consultant Psychiatrists, British Sign Language Interpreters, and Managers. You will play an important role in supporting the smooth day-to-day running of the service and helping the team deliver excellent care to children and families.
Our team is made up of both deaf and hearing staff members. Therefore, candidates who do not already hold a British Sign Language (BSL) qualification will be offered the opportunity to undertake BSL training.We are looking for someone who is enthusiastic, proactive, and able to work both independently and as part of a team. You should be confident using your own initiative, managing a varied workload, and recognising when to seek advice or support.
Main duties of the job

The post holder will provide comprehensive administrative and secretarial support to the multidisciplinary team, including:
- Monitoring and managing team email inboxes.
- Processing and actioning incoming post, including maintaining tracking spreadsheets where required.
- Responding to email requests, producing correspondence, reports, and liaising with external professionals.
- Answering telephone calls and responding to enquiries in a professional and timely manner.
- Attending multidisciplinary team (MDT) meetings, taking accurate minutes, and maintaining action logs.
- Managing diaries and coordinating appointments as required.
- Undertaking general office duties and maintaining administrative systems.
- Monitoring and ordering office supplies and administrative stock.
- Processing referrals and recording clinical information on the electronic patient record system.
- Supporting the team to ensure administrative processes are completed efficiently and in line with service standards.
