We are looking for a Human Resources Administrator to join our busy HR Onboarding team, supporting the delivery of high-quality services across both corporate and school services.
You will be appointed to the HR Administrator Onboarding role at Grade 5, with a clear development pathway and the opportunity to progress towards a Senior Onboarding Administrator role at Grade 6. This is an opportunity to build your HR knowledge and experience while developing the specialist skills, technical expertise and confidence required to progress to a more senior role. Progression to Grade 6 is not automatic and will be subject to successful completion of an agreed development programme and demonstration of the required knowledge, skills and competencies.
Whether you already have experience in HR Onboarding or are an experienced administrator from a customer-focused environment looking to develop a career in HR, you will receive structured development, training and support. You will gain valuable experience in pre-employment checks, employment compliance, wider HR processes and HR systems, while developing the knowledge and experience required for the Senior Onboarding Administrator role.
Please note: While this advert is for one Grade 5 to Grade 6 development opportunity, we may also use this recruitment exercise to appoint a suitable candidate to a separate Grade 5 HR Administrator role. The duties of this role will be broadly aligned with those described above, however this separate position would not include the structured development pathway to Grade 6. If this additional opportunity becomes available, we may discuss the role further with suitable candidates as part of the recruitment process.
Working under the guidance of the Team Leader, you will develop expertise in areas including DBS and safeguarding checks, Right to Work, UKVI sponsorship and immigration requirements, CIFAS, professional registrations, references and employment compliance. You will play an important role in ensuring new employees are fully and accurately cleared to commence employment, while providing a positive and responsive service to candidates, managers and colleagues.
A key part of the role will be maintaining the iTrent HR database, ensuring employee information is accurate, complete and maintained in line with data quality standards, confidentiality requirements, HR policies and procedures. You will also maintain HR records and documentation, produce and monitor reports and management information, and support the preparation and issuing of conditional offers, contracts and associated documentation.
You will have opportunities to work alongside experienced colleagues on more complex onboarding and compliance cases, developing your ability to interpret procedures and legislation, identify appropriate actions, and provide accurate advice and support.
As your knowledge, skills and experience develop, you will take on increasing responsibility and work collaboratively alongside the Team Leader and colleagues to help coordinate the day-to-day operation of the Onboarding team. This will include helping to prioritise and coordinate workloads, providing advice and guidance, sharing knowledge, and contributing to the training and development of colleagues. You will also contribute to the development of guidance and procedures, while developing the skills and confidence to support the efficient and effective delivery of the service.
The role will also provide opportunities to contribute to service improvement and digitalisation, including system testing, process reviews and the development of more efficient ways of working. You will work closely with colleagues across Recruitment, Employee Services and HR Business Partner teams, gaining a broader understanding of how different areas of HR work together to deliver an effective employee journey.

As part of this Grade 5 to Grade 6 development opportunity, you will receive structured development and training in specialist onboarding areas, including DBS and UKVI Sponsorship and Immigration processes, alongside mandatory safeguarding and compliance training. You will also have opportunities to learn from experienced colleagues and develop your knowledge through practical experience across a range of onboarding and employment compliance activities.
Ideally, you will hold a CIPD Foundation Certificate in People Practice (Level 3). As a minimum, you will be an experienced administrator qualified to NVQ Level 3, A Level or equivalent, with an interest in developing a career in Human Resources. A willingness to undertake further professional development is essential, with support available towards CIPD qualifications up to Level 5.
We are looking for someone who is organised, consistently accurate and customer-focused, with strong IT skills, particularly in MS Word, Excel and the use of large databases. You will have proven administrative experience, the ability to manage and prioritise your own workload and the confidence to support the coordination of the team's day-to-day activities.
You will also need excellent attention to detail, discretion when handling confidential HR information, strong communication skills and the ability to build effective working relationships with managers, employees and colleagues.
