Job summary

An exciting opportunity has arisen to join the Powys Public Health team as Business Support Manager, where you will play a key role in delivering essential business and administrative support to the team.

Powys Public Health team is based in Bronllys Hospital and aims to protect local communities, improve the health and well-being of the Powys population, ensure quality of healthcare services and address underlying health inequalities.

The Business Support Manager is an essential coordination point for systems, processes, reporting and communication within the Public Health team. Key requirements of the role include managing business operations, maintaining accurate data and reporting systems and providing high quality operational, administrative and governance support to the team.

The successful candidate should be professional and approachable and be able to oversee day to day business functions to support the smooth running of the team. They should be a good team player and able to work well with other people. The role comes with managerial responsibilities, with the successful candidate being responsible for the management of the Administrative Assistants working within the public health team.

Excellent computer skills are required, with there being a need to use Microsoft 365, Sharepoint, Outlook, Teams, Oracle and digital recording systems regularly.

The postholder will be based at Bronllys Hospital.

Main duties of the job

Communication

  • Act as a filter for incoming requests and queries related to key business areas
  • Handle confidential and sensitive information
  • Ensure that systems are in place for effective communication and dissemination of information.
  • Share ideas to improve the operational running of services
  • Act as the key point of contact for all business-related issues within the service, ensuring effective liaison/communication between the service and other areas of the Directorate, the Health Board and external organisations.

Planning

  • Responsibility for planning, timetabling and undertaking preparatory work for meetings and to provide any necessary documentation
  • Be an essential part of the services' business meetings and the senior management meetings

Management & Leadership

  • Line manages the Administrators within the service, being responsible for PADR, sickness etc.

Improvement, Monitoring, Evaluation

  • Effectively manage change within delegated project work.
  • Ensure that information and documentation is provided in a timely fashion and readily available for meetings and discussions, including preparing reports, agendas, minutes, statistics and other similar documents.

Digital and Information

  • Implement and maintain efficient and workable manual and electronic systems and databases, including electronic filing systems
