Job summary

The Radiology Private Practice (Junior) Business Manager is responsible for supporting the effective operational delivery, coordination and performance of private patient activity within the Radiology Service.

The post holder will coordinate the administrative and business processes associated with private radiology activity, ensuring private patients progress efficiently through the radiology pathway.

Key responsibilities include monitoring and reporting on private radiology activity, capacity, income and key performance indicators; analysing data; identifying areas of underperformance; and supporting managers to improve utilisation, productivity, patient experience and income capture. The post holder will also ensure appropriate financial arrangements are confirmed in line with agreed processes and that accurate information is available to support timely and accurate invoicing.

The post holder will supervise administrative staff supporting private radiology activity and contribute to the development and implementation of standard operating procedures, service improvements and new ways of working.

The role requires a significant degree of initiative, working within established Trust and Radiology policies and procedures to resolve routine operational issues independently and escalate complex clinical, financial or significant performance issues as appropriate.

Main duties of the job

  • Coordinate admin and business processes supporting private Radiology activity.
  • Coordinate private patient pathways.
  • Act as a key operational point of contact for private Radiology admin and business enquiries.
  • Liaise with Consultant Radiologists, Radiographers, Radiology Nurses, admin teams and other services to ensure private examinations and procedures are appropriately coordinated.
  • Support the effective scheduling of private activity across relevant modalities.
  • Monitor private patient pathways and proactively identify and follow up outstanding actions which could delay treatment, imaging or reporting.
  • Ensure that appropriate admin processes are completed before private examinations and procedures take place.
  • Support effective use of available Radiology capacity for private patient activity whilst ensuring this is managed in accordance with agreed Trust and departmental arrangements.
  • Identify unused or underutilised private capacity and escalate opportunities or concerns to the appropriate manager.
  • Monitor cancellations and delays affecting private patients and assist in identifying recurring causes and opportunities for improvement.
  • Work with modality teams and admin staff to ensure private patient activity is clearly identified and appropriately recorded on relevant systems.
  • Resolve routine operational problems independently within agreed procedures, referring clinical decisions and significant operational issues to the appropriate clinical or managerial lead.

The Radiology Private Practice (Junior) Business Manager supports the effective operational delivery, coordination and performance of private patient activity within the Radiology Service.

The post holder will coordinate the administrative and business processes associated with private diagnostic imaging and interventional radiology services, ensuring patients progress efficiently from referral and enquiry through to imaging or intervention, reporting, invoicing and completion of the patient pathway.

Working closely with Consultant Radiologists, Radiographers, Nursing staff, Administrative Teams, Finance, Private Patient Services, insurers and external organisations, the post holder will ensure private activity is appropriately authorised, recorded, delivered and charged in line with Trust procedures.

The role is responsible for monitoring private patient activity, capacity, performance and income, producing reports and analysing information to identify trends, opportunities for improvement and risks to service delivery. The post holder will support the development of efficient patient pathways, improved utilisation of capacity, enhanced patient experience and accurate income capture.

The post holder will supervise designated administrative staff, contribute to service improvement initiatives, support the implementation of standard operating procedures and work with a significant degree of autonomy within established Trust policies and procedures.

Main Responsibilities Operational Management

  • Coordinate the day-to-day administration of private radiology activity.
  • Manage private patient pathways from referral to completion of the administrative and financial process.
  • Act as a key point of contact for private radiology operational enquiries.
  • Support the effective scheduling and utilisation of private imaging and procedural capacity.
  • Monitor patient pathways and proactively resolve or escalate issues that may cause delays.
  • Ensure private activity is clearly identified and accurately recorded on Trust systems.
  • Monitor cancellations, delays and underutilised capacity, identifying opportunities for improvement.

Referral and Pathway Coordination

  • Receive and process private radiology referrals in accordance with agreed procedures.
  • Ensure referrals contain the required information and liaise with referrers where details are incomplete.
  • Coordinate referrals requiring clinical vetting and ensure timely progression through the pathway.
  • Arrange appointments following clinical authorisation and ensure patients receive appropriate information.
  • Support complex pathways involving multiple appointments or interventional procedures.

Performance and Reporting

  • Monitor private activity, demand, capacity, utilisation and key performance indicators.
  • Produce routine and ad hoc reports for the Radiology Management Team.
  • Analyse data, identify trends, investigate discrepancies and support improvements in data quality.
  • Present information using reports, spreadsheets, dashboards and presentations.
  • Support managers in understanding performance variation and service improvement opportunities.

Financial Management

  • Support the effective administration of private radiology income processes.
  • Ensure insurer authorisations, guarantees, deposits or self-pay arrangements are confirmed where required.
  • Verify that examinations and procedures are accurately recorded to support timely invoicing.
  • Liaise with clinical, administrative and finance teams to resolve information discrepancies.
  • Monitor outstanding activity awaiting invoicing and support income recovery processes.
  • Produce activity and income reports and support business planning and forecasting.

Capacity and Service Development

  • Monitor private radiology capacity and utilisation across relevant modalities.
  • Identify opportunities to improve efficiency, utilisation and patient flow.
  • Support development of new services, pathways and business opportunities.
  • Assist with service reviews, business cases and evaluation of service changes.
  • Contribute to the implementation of new digital systems and improved ways of working.

Stakeholder and Consultant Liaison

  • Develop effective working relationships with Consultant Radiologists and key stakeholders.
  • Provide relevant activity and performance information to consultants and managers.
  • Liaise with insurers, referrers, external organisations and Trust services regarding administrative aspects of private care.
  • Support regular meetings relating to private practice activity and performance.

Staff Management

  • Provide day-to-day supervision of designated administrative staff.
  • Allocate and monitor workloads, support induction and training, and promote consistent application of procedures.
  • Contribute to appraisal, objective setting and staff development processes.
  • Support effective workforce planning and service continuity arrangements.

Patient Experience and Governance

  • Promote high standards of customer service throughout the private patient pathway.
  • Respond to enquiries and resolve routine concerns promptly and professionally.
  • Support collection and analysis of patient and referrer feedback.
  • Assist with complaints, audits, service reviews and governance activities.
  • Ensure compliance with Trust policies, financial procedures, information governance and confidentiality requirements.
  • Identify and escalate operational, financial and administrative risks.

Service Improvement

  • Identify opportunities to improve patient pathways, administrative efficiency, data quality and income capture.
  • Participate in service improvement projects and implementation of revised processes.
  • Support benchmarking, audit and continuous improvement activities.
  • Promote a culture of learning, innovation and high-quality service delivery.
