Hours: 37 hours per week

Reports to: HR People Manager but works with all the People Managers and People Team

Base: Newfield House; Blackpool but will be required to visit and potentially work from any of the sites we support. This is a role that supports all the business units.

Main duties of the job

The HR People Coordinator will provide professional, responsive and efficient coordination and administrative support across the People & Wellbeing function.

Working closely with the HR People Managers, the post-holder will act as a first point of contact for many colleague and manager queries, ensuring that people processes are delivered consistently, accurately and in line with organisational policies and employment legislation.

The role will contribute significantly to the employee lifecycle, support workforce wellbeing initiatives and maintain the HR systems, records and processes that underpin an effective People function. The position plays a vital role in ensuring managers and colleagues receive a high-quality service that reflects FCMS values and culture.

Job description

Day to Day Duties to include, but not exhaustive:

HR Coordination & Employee Lifecycle

Coordinate and administer all employment lifecycle activities including contractual changes and offboarding.

Prepare contracts of employment, offer letters and related employment documentation.

Maintain accurate employee records, HR systems and personnel files in line with GDPR and data protection requirements.

Ensure HR documentation is stored, maintained and archived appropriately.

Monitor probationary review processes and provide reminders to managers where appropriate.

Employee Relations Support

Act as a first point of contact for routine HR queries from managers and colleagues.

Provide guidance on policies, procedures and employment processes, escalating more complex issues to the HR People Manager.

Support employee relations case management administration including investigations, disciplinary, grievance and absence meetings.

Prepare letters, meeting documentation and outcome paperwork as required.

Maintain confidential records relating to employee relations matters.

Workforce Information, Compliance & Systems

Maintain HR systems and workforce databases ensuring accuracy and data integrity.

Produce regular workforce reports and management information relating to absence, turnover, vacancies and other people metrics.

Support compliance monitoring including Professional Registrations, right-to-work documentation, and other employment requirements.

Assist with internal audits and assurance activities including CQC, Information Governance and workforce compliance requirements.

Support the People Manager with data gathering and analysis to inform workforce planning and decision-making.

Wellbeing, Culture & Engagement

Support delivery of Wellbeing initiatives.

Assist with colleague engagement activities, recognition programmes and wellbeing campaigns.

Promote FCMS values, behaviours and a positive workplace culture across the organisation.

Assist with colleague surveys and feedback initiatives and support subsequent actions.

Payroll & Benefits Administration

Liaise with Payroll to ensure accurate and timely processing of leavers and contractual changes.

Support administration of annual leave records, sickness recording and workforce-related benefits.

Resolve routine payroll and employment administration queries promptly and professionally.

Stakeholder Relationships

Build positive working relationships with colleagues and managers across all services.

Provide a welcoming, approachable and professional People Team presence.

Work collaboratively with internal and external stakeholders to ensure effective communication and coordination of people-related activities.

Continuous Improvement & Development

Identify opportunities to improve administrative processes and service delivery.

Support implementation of new HR processes, systems and projects.

Actively participate in personal development and learning opportunities.

Contribute positively to the continued development and growth of the People & Wellbeing Team.
