This is an exciting opportunity to combine hands-on secretarial work with leadership responsibilities. You will oversee the day-to-day management of the medical secretary function, ensuring referrals, clinical correspondence, GP2GP transfers, medical records and administrative processes are delivered efficiently, accurately and in line with NHS standards. You will also support service improvements, monitor performance and help develop a high-quality administrative service for our patients and clinicians.

We are looking for someone with excellent knowledge of NHS Primary Care systems, including EMIS Web, e-RS and Docman, who thrives in a fast-paced environment and enjoys leading by example.

Main duties of the job

The Lead Medical Secretary will manage the day-to-day medical secretarial service, including processing referrals, clinical correspondence, GP2GP transfers, medical records and Subject Access Requests. The postholder will supervise the secretarial team, allocate workloads, monitor backlogs and turnaround times, complete audits and support service improvements. They will also liaise with clinicians, hospitals and other providers, ensure urgent information is escalated promptly, maintain confidentiality and information governance standards, and provide reception or administrative cover when required.

The Lead Medical Secretary will provide a comprehensive, high-quality medical secretarial service while leading and supporting the Medical Secretary team. The post holder will ensure referrals, clinical correspondence and medical records are processed accurately, efficiently and in line with NHS standards, contributing to the smooth running of the practice.

Main duties include:

  • Lead, supervise and support the Medical Secretary team.
  • Allocate workloads and monitor performance, turnaround times and service standards.
  • Manage incoming and outgoing clinical correspondence.
  • Process routine, urgent, Two Week Wait (2WW), community, tertiary and private referrals.
  • Monitor and manage NHS e-Referral Service (e-RS) worklists, including rejected, returned and deferred referrals.
  • Process Advice & Guidance requests where appropriate.
  • Liaise with hospitals, community providers and booking teams regarding referral queries.
  • Monitor GP2GP transfers and resolve failed electronic record transfers.
  • Process patient registrations, deductions and movement of electronic medical records.
  • Process Subject Access Requests (SARs), Access to Health Records requests and third-party medical reports.
  • Ensure medical records are prepared and disclosed in accordance with GDPR, NHS Records Management standards and practice policies.
  • Manage EMIS workflow tasks and action clinician instructions.
  • Maintain accurate coding, scanning and document management standards using EMIS Web and Docman.
  • Escalate urgent clinical information appropriately.
  • Produce audits and performance reports to support service improvement.
  • Develop and review standard operating procedures (SOPs).
  • Support CQC compliance and quality improvement initiatives.
  • Provide reception and administrative cover when required to support the wider practice team.
