Job summary

Working as part of the communications team the post holder will provide comprehensive project andgeneral support to deliver the Trust's communications and engagement strategy and operational plans.

Main duties of the job

The post-holder will support the communications team to deliver effective internal and externalcommunications, media and stakeholder relations and contribute to the delivery of our widercommunications and engagement strategy. They will play a vital role in improving, maintaining andenhancing the credibility and good reputation of the Trust and will support the senior internal commsofficer, senior external comms officer and senior digital comms officer with various communicationcampaigns and projects.They will provide administrative support for the caring minds charity and be responsible for theactivities associated with the 4000 staff lottery club, which includes lottery draw, advertising ofwinners and working with finance colleagues to ensure prompt payments. They will also beresponsible for monitoring and actioning the fundraising email box.

Job description

Handle, draft, and process complex and sensitive information, liaising with senior colleaguesincluding making decisions about how information is presented. Research, draft and distribute publications for internal audiences, external stakeholders andlocal, national and specialist media. Write and produce high quality information for internal and external audiences, includingarticles, colleague briefings, display boards, leaflets, presentations. Produce displays and publicity materials. Liaise with selected agencies to design and print publications using established Trust brandguidelines. Responsible for maintaining communications systems, writing ebulletins/communication for arange of internal and external audiences using page tiger or associated softwarepackage/systemsAct as guardian of communication through notice boards and posters. Identify photography requirements and liaise with service leads and external stakeholders forphotography sessions. Develop and produce monthly statistical reports in relation to communications activity, usingexcel or similar system. Develop and maintain good working relationships with communications colleagues inneighbouring NHS organisations and partner agencies to ensure that opportunities for jointworking are maximised. Develop staff surveys and other feedback mechanisms, using survey Monkey or otherassociated system. Develop and maintain distribution lists in liaison with other colleagues as appropriate,including colleague email and hard copy distribution lists. Support the senior digital communications officer, with developing and delivering the Trustsdigital strategy focusing on improved use of digital, social media and blogging to engage witha wider range of people. Under the guidance of the Head of Communications and Senior Digital Communicationsofficer, have responsibility for the continued development and maintenance of the Trustswebsite, including ensuring content is up to date and responsive to audience needs, searchengine optimisation and ensuring accessibility standards are met so that information isaccessible, engaging, dynamic, relevant, and up to date. Write, edit, and update content for the website and intranet, in keeping with theorganisations communications and engagement strategy and publication scheme, includinguploading relevant documents in a timely fashion. Monitor and report website and social media statistics and trends monthly. This includessocial media trends and campaigns run by the Trust. Support and develop a range of digital communications including writing, editing, anddistributing electronic briefings and bulletins, intranet content, web content, social mediacontent and materials for projects and corporate activities. Use suitable social media and website metrics and other analysis tools to measure onlineactivity. Produce reports to evaluate the effectiveness of digital activity and social media use. Be the first point of contact for media enquiries responding speedily, accurately, and effectively, escalating to the senior external communications officer when necessary. Initiate, research, and draft proactive releases to promote the Trust and raise its profileensure a proactive media plan is in place to maximise the Trusts positive media coverageand to support events and campaigns. Responsible for monitoring press coverage. Maintain distribution list and contacts databases. Support the communications team and other departments in planning and managingcomplex events and activities such as open days, public meetings, annual general meeting,and VIP visits. Oversee the production of publicity and other material (written and electronic) to supportevents e.g., posters, news releases. Ensure the Trusts event and campaigns calendar is delivered, and feedback is analysed andreport to the head of communications manager. Be responsible for organising events and supporting the communications team in anystakeholder and service user and public involvement activity ensuring all activities are carriedout professionally and as agreed with the communications manager. Provide PR support for campaigns, such as researching, writing, and managing leafletdesign and print, and identifying the most appropriate vehicles for marketing. Monitor external awards programmes and promotes to colleagues, maintain a record ofpromotional activity, entries, and outcomes. Support the senior internal comms officer, senior external comms officer and senior digitalcomms officer with any other communications projects/campaigns. Responsible for maintaining communications systems, writing ebulletins/communication for arange of internal and external audiences using page tiger or associated software. Change to Swayor associated software. Develop staff surveys and other feedback mechanisms, using Survey Monkey or other associatedsystem. Change to Forms. Support the senior digital communications officer, with developing and delivering the Trusts digitalstrategy focusing on improved use of digital, social media and blogging to engage with a widerrange of people. Remove blogging.Develop and schedule tailored content for adults and young people for social media (Instagram,Facebook and Linked In) in relation to events, good news stories, awareness days and key Trustand NHS wide messaging. Basic design skills and using Canva to develop posters, screensavers and images for Trustpublications. Basic video editing skills C-ordinating and setting up weekly webinar (Listen Up Live) with members of our Executive teamand promoting these to staff. Co-ordinating our Team of the Month awards. Use AI to develop content for communications, analyse information and create imagery. Work with the rest of the team to respond to messages in our Communications Inbox. Working with the team to create opportunities for staff, patients, service users, carers and thepublic to feed back on our communications channels and help us to improve our work.
