We have an exciting opportunity for a motivated Administrative Assistant to join our friendly and busy Medical Staffing Team (MST).This is a key administrative role supporting the day-to-day activities of the team and ensuring a high-quality service is provided to our resident doctors, consultants and managers across the Trust.

About the Role

As the first point of contact for the Medical Staffing Team, you will provide a comprehensive administrative service and support a wide range of workforce processes. Working within a small but highly active team, you will be responsible for a variety of administrative tasks including:

  • Managing and responding to team emails and enquiries
  • Diary management and appointment coordination
  • Producing recruitment and employment-related correspondence
  • Completing identification and compliance checks
  • Maintaining accurate staff records and databases
  • Inputting and updating information on electronic systems and Excel spreadsheets
  • Supporting the wider Medical Staffing function with general administration duties

Main duties of the job

The main duties of the Band 2 Admin Assistant role are to provide day-to-day admin support to the MST and help ensure an efficient service for resident doctors, consultants and managers in the Trust. This is a busy administrative role where you act as first point of contact for the MST support workforce processes, maintain accurate records, and ensure recruitment and employment administration is completed efficiently and accurately. In summary, this role is primarily focused on admin, record-keeping, recruitment support, compliance checks, diary management, and responding to enquiries, while providing excellent support to the Medical Staffing function. We are looking for an individual who:

  • Has previous experience working in an office or administrative environment
  • Demonstrates excellent organisational skills and attention to detail
  • Can manage competing priorities and work effectively under pressure
  • Has strong communication and interpersonal skills
  • Is confident liaising with a wide range of stakeholders
  • Can use their own initiative and work both independently and as part of a team
  • Has a positive, flexible and proactive approach to work
  • Is committed to providing an excellent customer-focused service

In this role, you will regularly communicate with resident doctors, consultants, managers and colleagues across the Trust, including teams within Medical Education, Payroll, Finance and IT. Strong relationship-building and communication skills are therefore essential.
