Job summary
The Practice Administrator plays a key role in supporting the smooth and efficient running of the GP practice. The post holder will provide high-quality administrative support across clinical and non-clinical services, ensuring compliance with NHS regulations, maintaining accurate records, and delivering excellent patient-focused service.
Main duties of the job
The role provides comprehensive administrative and operational support our current Administration team, and wider practice team, ensuring the smooth and efficient running of the practice. Responsibilities include maintaining accurate patient records, summarising patients notes, undertaking clinical coding, supporting clinical systems and workflows, and assisting with meeting organisation and documentation. The role also supports data collection, reporting, and audits to meet QOF, NHS, and CQC requirements, helping ensure ongoing compliance with regulatory and contractual standards. In addition, the post holder assists with basic HR administration such as rota and leave records, maintains strict confidentiality, and contributes to continuous improvement across the practice.

Key Responsibilities
- Administrative & Operational Support
- Provide comprehensive administrative support to the Administration team and wider practice team.
- Manage and maintain accurate patient records in line with GDPR, NHS, and practice policies.
- Summarising Patients note, carry out accurate clinical coding of patient records in line with practice and national standards.
- Support system administration and clinical workflow as required.
- Assist with the organisation of meetings, preparation of agendas, and minute-taking.
Data, Reporting & Compliance
- Support the collection and submission of data for QOF and other NHS reporting requirements.
- Maintain registers, recalls, and audits as directed by the Practice Manager.
- Assist in ensuring compliance with CQC standards and NHS contractual requirements.
HR & Staff Support
- Support rota administration and leave records where required.
General Duties
- Maintain confidentiality at all times in line with NHS and practice policies.
- Contribute to continuous improvement and efficiency within the practice.
- Undertake any other reasonable duties commensurate with the role.
