Job summary
We are looking for an organised, approachable and proactive GP Trainee Coordinator and Administrative Support Officer to join our busy GP practice.
This varied role will provide dedicated support to our GP trainees and locums, alongside general administrative support for the practice. The successful candidate will have excellent communication and organisational skills, strong attention to detail and the ability to manage competing priorities.
Main duties of the job
GP trainees and locums
- Act as the main point of contact for GP trainees
- Develop and coordinate a comprehensive induction programme for GP trainees and locums
- Arrange regular meetings with GP trainees
- Attend the weekly GP trainee wellbeing meeting for up to 30 minutes on Thursday mornings
- Ensure joint surgeries and other required sessions are correctly booked on the rota
- Review GP trainee leave requests to ensure they meet the relevant requirements before submitting them to the partners for approval
- Ensure GP trainee leave and absences are reported promptly to the GP Training Lead
- Provide ongoing administrative support to GP trainees throughout their placement
- Administer annual leave requests for all staff
- Record approved leave on the rota once it has been authorised by the relevant Team Lead or partners
- Liaise and coordinate with the rota administrator
- Maintain accurate and up-to-date leave and rota records
Please note that this role is responsible for administering and recording annual leave; responsibility for approving or declining staff leave remains with the relevant Team Lead or partners.
- Set up new staff on the relevant systems, including Windows access, smart card permissions and ICE access
- Assist with the summarising of medical records
- Provide cover during the medical secretarys annual leave, including processing urgent and two-week-wait referrals
- Undertake other appropriate administrative duties to support the effective running of the practice
