Job summary
Kingstanding Circle Surgery, B44 0UY, is looking for an experienced and enthusiastic Reception Supervisor to join our friendly General Practice team.
The successful candidate will have the opportunity to become an integral part of the practice team, working closely with GPs, nurses, administrative staff and other healthcare professionals. You will be responsible for supporting the smooth day-to-day running of the reception service, providing guidance to reception staff and helping to maintain a consistently high standard of patient care.
We are looking for someone who is reliable, organised, approachable and confident, with the ability to remain calm and professional in a busy General Practice environment. Previous experience in General Practice and confidence using the EMIS clinical system are essential for this role.
The role offers the opportunity to develop your leadership and supervisory skills while making a valuable contribution to the patient experience and the effective running of the surgery.
Main duties of the job
As Reception Supervisor, you will help oversee the day-to-day running of the practice reception service.
Your main duties will include:
- Supervising, supporting and coordinating the reception team.
- Ensuring the reception service operates smoothly and efficiently.
- Providing a welcoming, professional and patient-focused service.
- Supporting reception staff with queries and day-to-day challenges.
- Helping with staff training, induction and development.
- Using the EMIS clinical system to support patient administration and reception processes.
- Liaising with GPs, nurses, administrative staff and other members of the practice team.
- Dealing appropriately and professionally with patient queries and concerns.
- Maintaining patient confidentiality and following practice policies and procedures.
- Supporting the wider practice team with administrative duties when required.
Job description
Reception Team Supervision
- Provide day-to-day supervision, guidance and support to reception staff.
- Assist with the organisation and allocation of reception duties.
- Monitor workloads and help ensure adequate reception cover.
- Support the induction and training of new reception staff.
- Identify training and development needs within the team.
- Encourage good teamwork, communication and professional standards.
- Support the Practice Manager with staff performance and conduct matters where appropriate.
Patient Service
- Ensure patients receive a friendly, respectful and professional service.
- Deal appropriately with patient queries, concerns and complaints, escalating issues when necessary.
- Support the team in managing difficult or challenging situations professionally.
- Promote a patient-centred approach throughout the reception service.
- Ensure patients are treated with dignity, courtesy and respect.
EMIS and Administration
- Use the EMIS clinical system confidently and effectively.
- Ensure reception and administrative procedures are followed correctly.
- Support accurate maintenance of patient records and information.
- Assist with appointment-related administration and other practice processes.
- Monitor and help improve reception workflows and procedures.
- Maintain accurate and confidential documentation.
Communication and Teamwork
- Liaise effectively with GPs, nurses, healthcare assistants, administrative staff and other members of the practice team.
- Communicate important information to the reception team in a clear and timely manner.
- Attend relevant practice meetings and contribute to discussions about reception services.
- Promote effective communication between reception and other departments.
Confidentiality and Information Governance
- Maintain strict patient confidentiality at all times.
- Comply with practice policies, NHS requirements and information governance procedures.
- Ensure sensitive patient and practice information is handled appropriately.
- Follow GDPR and data protection requirements.
Health, Safety and Compliance
- Follow practice health and safety procedures.
- Report any hazards, incidents or concerns to the appropriate person.
- Ensure reception areas are maintained in a professional and safe condition.
- Comply with all relevant practice policies and procedures.
Service Improvement
- Contribute ideas and suggestions to improve the patient experience and efficiency of reception services.
- Identify recurring issues and work with the Practice Manager to develop appropriate solutions.
- Support the implementation of new systems, procedures and changes within the practice.
