Business Support Officer (fixed term/internal secondment)

Are you an organised and proactive administrator looking for a rewarding role within Children's Community AHP Services?

We are seeking a Business Support Officer (30 hours) to provide high-quality administrative and business support, helping our teams deliver effective services to children, young people, and their families.

You will have strong administrative experience, excellent organisational skills, and confidence using Microsoft Office applications. Experience in data analysis, report production, and presenting information is essential, along with strong communication skills and attention to detail.

Working closely with clinical and operational teams, you will support service delivery, coordinate administrative processes, and contribute to service improvement and Trust objectives.

The post is primarily based at Sir Robert Peel Community Hospital, Tamworth, with occasional travel across Southern Staffordshire required. Access to reliable transport for business purposes is therefore essential. Some home working may be available by agreement.

NHS or healthcare experience would be advantageous but is not essential

Main duties of the job

  • Provide comprehensive administrative and business support, acting as a key point of contact for staff, stakeholders, and partner organisations.
  • Manage and develop efficient administrative systems and processes.
  • Support the Service Manager, Operational Leads, and Clinical Leads to meet service and Trust objectives.
  • Produce reports, spreadsheets, presentations, and data analysis to support planning, supervision, service delivery, and quality improvement.
  • Work with Corporate Services to identify under-recording of clinical activity and improve data quality and compliance.
  • Monitor performance and activity data, highlighting issues to clinicians and escalating concerns through Operational, Clinical, and Service Managers as required.
  • Support meetings through agenda preparation, minute taking, and action tracking.
  • Assist with audits, projects, governance activities, and service improvement initiatives.
  • Contribute to the wider Business Support Officer network, promoting consistency and sharing best practice across services.
  • Participate in supervision and deliver training where required, including supporting the induction of new staff members.

This role requires excellent organisational, communication, and analytical skills, with the ability to manage competing priorities and work effectively with colleagues across multidisciplinary teams.

Main duties and responsibilities

  • Request information / activity reports that are required on behalf of the Service Manager, Team Leaders including data timeliness, data quality, waiting times, wait lists, management reports etc.
  • Provide a central point of contact to respond to/resolve any queries on behalf of Service Manager, and Team Leaders where appropriate in relation to all Key Performance Indicators.
  • Contribute to a robust and strong cohesive framework from the established BSO network, providing support to colleagues to ensure consistency and equity of provision across Services/Teams as required.
  • Responsible for liaising with Corporate / Support Services to obtain data / performance reports e.g. activity reports, workforce and training data, financial information.
  • Provide regular monthly Service/Team updates as required to Service Manager and Team Leaders.
  • Attend internal and external meetings relevant to post, taking minutes and distributing using appropriate systems, arranging a variety of meetings and sourcing agenda items, as directed by the Service Manager and Operational Team Leader.
  • To be available for regular supervision by Team Leaders
  • Support and participate in the Business Meetings held on a monthly basis within the clinical teams.
  • Be accessible wherever possible at all times within core working hours.
  • Requirement to travel between Trust sites across a wide geographical area within Staffordshire and Stoke on Trent.
  • Ability to use a range of software programs, such as Microsoft Word, Excel, PowerPoint, Outlook, and a range of office equipment including multi-function device for photocopying, printing, scanning etc
