Medical Receptionist Job Description
1.1 POST TITLE: Receptionist (Part time, )
1.2 GRADE: Negotiable depending upon experience
1.3 ORGANISATIONAL RELATIONSHIPS
The post holder will be responsible to the Assistant Practice Manager.
1.4 DESCRIPTION OF ROLE
To deliver a friendly and welcoming service to patients and members of the public who contact the Practice by telephone or face to face. The post holder will undertake reception duties which will include the efficient and timely updating of patients records.
1.5 CONTEXT OF POST
The post holder will work closely together, with the assistant manager, to ensure continuous improvement in patient services.
1.6 RESPONSIBILITIES SPECIFIC TO THIS POST
1.6.1 Working in partnership with colleagues to promote a culture of continuous improvement in the development of the Practice in line with NHS requirements and Practice priorities.
1.6.2 Ensure that clinicians are relieved of as many administrative tasks as possible consistent with the relevant clinical governance policies and procedures
1.7 Patient Services
1.7.1 Ensure that the telephone is answered promptly and in a courteous manner, giving the name of the Surgery and asking how the caller may be helped.
1.7.2 Act as the link between Doctor and patient in negotiating services for the patient
1.7.3 Arrange appointments for patients with Doctors, Nurses and other health professionals
1.7.4 Explain practice policies and procedures to patients
1.7.5 Provide information and deal with patients queries
1.7.6 Ensure that repeat prescriptions are available within 48 hours of the receipt of the request
1.8 Practice Administration and Records
1.8.1 Maintain records as required by the Practice using the clinical computer systems, IT systems and relevant databases e.g. appointments, repeat prescriptions
1.8.2 Scan documents into the Practice clinical system via Workflow.
1.8.3 Ensure the safe and appropriate disposal of confidential documents
1.8.4 Administer the appropriate charges for services.
1.9 Human Resources
1.9.1 Help to ensure that a learning environment exists within which all staff have the opportunity to reach standards of excellence.
1.9.2 Where appropriate, help ensure that an Incident Book is kept and that all incidents are recorded in it and investigated and that a Significant Event Analysis is carried out in appropriate cases.
1.9.3 Help ensure that the provisions of Health and Safety and other related legislation are adhered to.
1.9.4 Participate in the annual appraisal of reception staff to identify training needs and undergo training as appropriate.
3 1.9.5 Participate in the training of other members of staff / personnel attached to the Practice, as appropriate.
1.10 Information
1.10.1 Ensure patient information is up to date and displayed appropriately.
1.10.2 Ensure that information is disseminated within the Practice as appropriate
1.11 Premises
1.11.1 Ensure that all public waiting areas are kept neat and tidy
1.11.2 Ensure that reception and back office areas are kept neat and tidy and organised for quick and easy access to documents and equipment. This list indicates the principal duties, but it is neither complete nor exhaustive and may involve other duties that may be required by the Practice Manager within the grade and status of the post.
2 COMMON DUTIES AND RESPONSIBILITIES
Quality Assurance
All staff are accountable for the quality of their own work. This will involve operating within the appropriate quality procedures applicable to the post.
Communication
To be personally aware of how the teams communications systems operate. Be fully conversant with the Practices procedures, policies, strategies and objectives and to participate in effective liaison within the team.
Professional Practice
To ensure that individual professional practices are developed in line with the Practices objective of continual improvement in the quality of services to patients.
Health and Safety
All staff will comply with statutory requirements and the Surgerys Health and Safety Policy, organisation arrangements and procedures. Staff have a responsibility to advise the Practice, through their line manager, of where they consider the Practice has not met its obligation to provide a safe and healthy place to work.
Appraisal
All members of staff will receive an annual appraisal and it is the responsibility of each member of staff to follow the Practices procedure in respect of appraisal.

5 3. Conditions of Service
1. Salary is paid monthly by bank credit transfer.
2. The appointment will be subject to:
i) A Disclosure and Barring Services (DBS) check.
ii) Satisfactory medical clearance. The successful candidate will be required to satisfy the Occupational Physician as to his/her fitness to perform the duties of the post.
iii) Satisfactory references. References will be sought from your current or most recent employer and additional references may be requested.
iv) Successful completion of a 6-month probationary period.
4. The post holder will be entitled to join the NHS pension scheme.
5. Leave entitlement is 28 days per year plus 8 bank holidays. The above entitlements are reduced proportionately for employees working fewer than 37.5 hours per week. (The holiday year runs from 1st April to the following 31st March.)
6. The Practice operates a no smoking policy.
