We are looking for a Band 3 Administrator to join Inclusion Hampshire, providing comprehensive administrative support to our remote specialist teams. This is a varied and rewarding role that plays a vital part in ensuring our services run efficiently and effectively.

Key responsibilities include managing email inboxes, handling enquiries, responding to service users and partner agencies, processing referrals, maintaining accurate records, ordering supplies and equipment, supporting meetings, and undertaking a range of admin duties. You will liaise with service users, healthcare professionals, partner organisations and colleagues across the service.

The successful candidate will have previous admin experience, strong IT skills including Microsoft Office, excellent organisational abilities, and the ability to manage competing priorities in a busy environment. You will be a professional and effective communicator and committed to providing a high standard of customer service.

Main duties of the job

Full-time administrator (working 37.5 hours per week) for Inclusion Recovery Hampshire Specialist Teams.

You will play a vital role in supporting the delivery of our specialist services, acting as a first point of contact for service users, professionals and partner organisations. As a highly valued member of the team, you will provide comprehensive administrative support to our Criminal Justice, Families, Specialist Alcohol and Residential Rehabilitation teams, helping to ensure our services run smoothly, efficiently and responsively while making a positive difference to the people we support.

Managing shared email inboxes and actioning correspondence appropriately. Handling incoming and outgoing telephone calls and responding to enquiries from service users, families, professionals and partner organisations. Providing administrative support for referrals, appointments, meetings and recruitment activities. Maintaining accurate records on electronic systems and ensuring information is recorded in line with service requirements. Preparing letters, reports, spreadsheets and other documentation using Microsoft Office applications. Organising and maintaining electronic filing systems. Ordering office, clinical and promotional resources and monitoring stock levels. Supporting meetings through scheduling, agenda preparation and minute taking as required. Liaising with internal colleagues and external agencies to support effective communication and service delivery. Processing incoming and outgoing post and distributing information appropriately. Ensuring confidentiality and compliance with data protection, safeguarding and organisational policies. Working flexibly to meet service needs and contributing to a positive, collaborative team environment.

The postholder will be expected to demonstrate excellent organisational, communication and IT skills, with the ability to manage competing priorities and provide a professional service to a diverse range of stakeholders.
