Job summary

We are looking for a temporary part-time GP Receptionist/Administrator to join our friendly team, providing cover for long-term sickness absence. Previous reception and administrative experience is essential, preferably within a healthcare setting. Excellent communication, customer service and confidentiality skills are required.

Main duties of the job

  • Booking appointments and managing patient enquiries, both face-to-face and over the telephone.
  • Processing repeat prescription requests and responding to related queries.
  • Using the clinical system to accurately record and update patient information.
  • Supporting practice call and recall activities.
  • Processing incoming and outgoing correspondence, both electronic and paper-based.
  • Providing general reception and administrative support to ensure the smooth running of the practice.

Job description

To provide a welcoming, efficient and professional reception and administrative service to patients, visitors and the wider practice team. The post holder will support the delivery of high-quality patient care by assisting patients with appointments, enquiries and administrative tasks while maintaining confidentiality at all times.

Main Responsibilities

  • Provide a professional and courteous reception service to patients and visitors.
  • Deal with patient enquiries, both face-to-face and over the telephone.
  • Book, amend and cancel appointments as required.
  • Contact patients regarding appointment changes and clinic updates.
  • Register new patients and maintain accurate patient records.
  • Process repeats and acute prescription requests in accordance with practice procedures.
  • Use the clinical computer system to update and retrieve patient information.
  • Process incoming and outgoing correspondence, including emails and electronic documents.
  • Action tasks and requests received from clinicians and other practice staff.
  • Support practice call and recall systems and patient communications.
  • Liaise with pharmacies, hospitals, community services and other healthcare professionals regarding patient care.
  • Manage challenging situations professionally and sensitively, following practice policies and procedures.
  • Undertake general administrative duties to support the smooth running of the practice.

Other Duties

  • Adhere to practice policies, procedures and protocols.
  • Maintain high standards of confidentiality and data protection.
  • Support colleagues by providing holiday and sickness cover where appropriate.
  • Open or close the practice in accordance with practice procedures when required.
  • Assist in maintaining a safe, clean and welcoming environment for patients and staff.
  • Undertake any other duties appropriate to the role as requested by the Practice Manager or Partners.

Confidentiality

The post holder will have access to confidential information relating to patients, staff and the practice and must maintain strict confidentiality at all times in accordance with GDPR, NHS guidance and practice policies.

Health & Safety

The post holder is responsible for promoting and maintaining a safe working environment by following practice Health & Safety and Infection Prevention and Control policies, reporting hazards and attending mandatory training.
