This role is based at both our Oxstalls Campus in Gloucester and Pittville Student Village in Cheltenham.

The University of Gloucestershire is a growing institution, with increasing student numbers and a strong commitment to delivering an outstanding student experience. As part of this growth, we're seeking a proactive and detail-oriented Records and Course Administrator to join our Academic Registry team and help deliver excellent administrative support across the student lifecycle.

About Us

The Student Experience Directorate brings together services that support every aspect of student life, from wellbeing and accommodation to academic records and graduation. Academic Registry is the central hub for academic administration, working collaboratively across the University and with our external partners to deliver high-quality, student-focused services. Working as one team, we support students throughout their journey and play a vital role in the University's academic success

The Role

As a Records and Course Administrator, you'll provide core administrative support for taught programmes across undergraduate, postgraduate, apprenticeship and partner provision. You'll take responsibility for a portfolio of courses, working closely with Academic Course Leaders to develop a detailed understanding of programme structures and requirements.

The role is varied and fast-paced, with a strong focus on maintaining accurate student, module and course data, supporting assessment processes, and ensuring compliance with University regulations and procedures. You'll help students, academic colleagues and external stakeholders navigate key academic administration processes while contributing to continuous service improvement.

Key Responsibilities Include

Providing high-quality administrative support across all aspects of student, module and course administration, including registration, enrolment, module records and course communications

Maintaining accurate student, module and course data to support effective course management and decision-making.

Supporting assessment and progression processes, including examinations, coursework submissions, assessment boards and accreditation activities.

Advising students, academic staff, external examiners and other stakeholders on academic administration procedures and regulations.

Monitoring compliance with University regulations, policies and professional requirements, escalating issues where appropriate.

Supporting course-related activities such as student engagement monitoring, feedback processes and field trip administration.

Identifying opportunities to improve processes and data management practices, working collaboratively to enhance services.

Supporting University-wide activities, including Graduation ceremonies, Open Days and other student-facing events.

What We're Looking For

We're looking for someone who is:

Experienced in delivering high-quality administrative support in a busy, customer-focused environment

Comfortable working with large databases and handling data with accuracy and attention to detail.

Skilled at building positive working relationships with a wide range of stakeholders.

Interested in technology and process improvement, with a willingness to embrace new ways of working.

Why Join Us?

This is an exciting time to join a university that is expanding and evolving. You'll be part of a supportive and collaborative team, enjoy flexible working arrangements, and have the opportunity to make a meaningful contribution to the student experience. Whether helping students navigate key milestones, supporting academic colleagues, or improving administrative processes, your work will have a direct impact on student success across the University.
