Job summary
The Jubilee Street Practice Ltd is looking for an experienced, organised and confident Medical Secretary to join our team for 12 months of sabbatical cover.
This is a key role in the safe and smooth running of patient care. Referrals, Advice & Guidance, Advice and Refer, Subject Access Requests and medical reports are not just admin tasks - they are the systems that help patients move through care safely, get specialist input, access the right services and receive timely follow-up.
We are looking for someone who understands that detail matters. Someone who can manage eRS worklists, keep referrals moving, spot when something is stuck and know when to escalate. Someone who is comfortable working with GPs, clinicians, patients, hospitals, external services and internal teams in a busy, high-performing GP practice.
This role would suit a Secretary or Referral Coordinator with strong eRS knowledge, excellent organisation and a calm, professional approach to sensitive information and competing priorities.

Main duties of the job
The Medical Secretary will provide high-quality secretarial and referral support to the practice, with a particular focus on NHS e-Referral Service workflows.
The role will include processing and monitoring eRS referrals, Advice & Guidance, Advice & Refer workflows, clinical correspondence, Subject Access Requests, insurance reports, medical reports and other secretarial work.
The post-holder will work closely with clinicians, administrative teams, patients and external providers to ensure work is completed accurately, confidentially and within agreed timescales.
This is a 30-hour-per-week role for 12 months to cover a sabbatical.
Working days are expected to be Monday to Friday. Remote working may also be considered, if discussed and agreed at interview, but this is not a fully remote role. At least 70% of the role must be worked on site, and the first four weeks will be fully on site to support induction, training, workflow familiarisation and integration with the team. Remote working will only be agreed where induction is completed successfully.
Job description
KEY OBJECTIVES:
- Manage eRS referral workflows safely and efficiently:Process and monitor NHS e-Referral Service activity, including referrals, worklists, Advice & Guidance and Advice & Refer workflows, ensuring actions are completed accurately and escalated appropriately.
- Provide high-quality medical secretarial support: Support clinicians and the wider practice by preparing, processing and tracking referrals, correspondence, reports and patient-related documentation.
- Coordinate clinical administration and patient communication: Ensure patient referral queries, hospital correspondence, advice outcomes and follow-up actions are handled clearly, professionally and within agreed timescales.
- Process SARs, insurance and private report requests: Support the practice with Subject Access Requests, insurance reports, medical reports and related administrative work in line with confidentiality, information governance and practice procedures.
- Maintain accurate records, tracking and governance: Ensure all secretarial work is recorded, tracked and filed correctly on EMIS and relevant systems, with risks, delays or incomplete information escalated promptly.
- Work collaboratively with clinical and administrative teams: Act as a key link between clinicians, patients, hospitals, external services and internal teams to support safe, timely and coordinated patient care.
- General responsibilities: Work flexibly and professionally within the wider practice team, maintaining high standards of confidentiality, accuracy, communication and patient-centred administrative support.
- Circle membership:Participate in relevant practice Circles aligned to the role, supporting shared accountability, service improvement and delivery of agreed actions linked to secretarial, access, governance or administrative workflows.
