Job summary

We are looking for a friendly and personable Receptionist/ Administrator to join our small GP Practice in Hanmer.

This is a part-time position (suitable for job share) and is a varied and rewarding role where you will be one of the first points of contact for our patients, helping to create a welcoming and positive experience for everyone who contacts or visits the practice.

Hours of work: up to 24 hours per week

Monday 8.00 am - 6.30 pm (hour lunch)

Wednesday 1.30 pm - 6.30 pm

Thursday 2.00 pm - 6.30 pm

Friday 9.00 am - 2.00 pm or 1.00 pm - 6.00pm (variable and can be discussed at interview)

We are looking for someone who is approachable, organised, and able to use their own initiative. Excellent communication skills are essential, along with a caring, professional, and patient-focused attitude.

Main duties of the job

Maintain and monitor the practice appointment system

Process personal, telephone and e-requests for appointments

Answer incoming phone calls, transferring calls or dealing with the callers request appropriately

Signposting patients to the correct service

Initiating contact with, and responding to, requests from patients, team members and external agencies

Clinically code data and enter patients healthcare information on to the clinical system (EMIS)

Data entry of new and temporary registrations and relevant patient information as required

Direct requests for information, i.e. insurance/solicitors letters and DVLA forms to the administrative team

Completion of Subject Access Requests using dedicated software (training provided)

Manage all queries as necessary in an efficient manner

Maintain a clean, tidy, effective working area

Monitor and maintain the reception area and notice boards

Support all clinical staff with general tasks as requested

Action incoming and outgoing emails and correspondence as necessary

Filing/photocopying and retrieving paperwork

Processing repeat prescriptions in accordance with Practice guidelines

Scan patient related documentation and attach scanned documents to patients healthcare records

Complete opening and closing procedures in accordance with the duty rota

Training on all systems will be provided
