Churchmere Medical Group is seeking an enthusiastic Patient Services Supervisor to join our friendly and supportive team. This is an exciting opportunity to help shape the patient experience across our Ellesmere and Whitchurch sites, leading our Reception and Administration teams to deliver outstanding service to patients and healthcare partners.
Working closely with the Patient Services Manager, you will support the smooth day-to-day operation of patient-facing services, ensuring patients receive a professional, compassionate and efficient experience. You will lead, support and develop staff, promote service excellence and contribute to continuous improvement across the practice.

This is a full-time position working 37.5 hours per week, between 9:00am and 5:00pm, Monday to Friday. Flexibility is required to support occasional evening clinics and Saturday morning Extended Access sessions.
Main duties of the job
The Patient Services Supervisor will provide day-to-day leadership and support to Reception and Administration teams, ensuring patients receive a professional, compassionate, and responsive service. The post holder will assist with workload management, rota coordination, team development, and the implementation of service improvements.
The role requires a hands-on approach, working alongside team members when required, while acting as a key point of contact for staff, patients, and external organisations. The successful candidate will support the delivery of efficient administrative processes, patient access services, and continuous improvement initiatives across the practice.
Job description
Leadership and Operational Management
- Provide day-to-day leadership, support and supervision to the Reception and Administration teams, promoting a positive, patient-focused culture.
- Support workforce planning and rota management to ensure appropriate staffing levels across both practice sites.
- Monitor team workloads, performance and service delivery, ensuring work is managed efficiently and effectively.
- Work alongside the Patient Services Manager to organise team meetings, training sessions and staff development activities.
- Ensure colleagues remain informed about practice policies, procedures and service developments.
- Act as a role model, providing guidance, coaching and support to team members as required.
Patient Services and Administration
- Ensure patients, visitors and healthcare professionals receive a courteous, professional and confidential service at all times.
- Support the effective delivery of reception and administrative functions, including appointment management, patient registrations, document workflow and patient enquiries.
- Develop and maintain a working knowledge of practice procedures, including referrals, test results, clinical correspondence, medical reports and registration processes.
- Support clinical and administrative colleagues with operational and administrative activities as required.
- Liaise effectively with hospitals, community services and other external organisations to support patient care and continuity of service.
- Use EMIS Web and other practice systems accurately and effectively to maintain patient records and administrative processes.
Patient Access and Experience
- Support the delivery of an efficient reception service across both practice sites.
- Ensure patients are signposted to the most appropriate service or healthcare professional.
- Respond to patient, staff and stakeholder enquiries in a professional and timely manner.
- Contribute to the continuous improvement of patient access, patient experience and service delivery across the practice.
Confidentiality and Information Governance
- Maintain the highest standards of confidentiality and information governance in relation to patient, staff and organisational information.
- Ensure all information is handled in accordance with data protection legislation, NHS guidance and practice policies.
- Promote and uphold the principles of confidentiality, professionalism and patient trust in all areas of work.
