Main duties of the job

The Assistant Practice Manager works closely with the Practice Manager to support the smooth day-to-day running and ongoing development of the practice. The role provides leadership and support across people management, patient services, quality and compliance, systems, premises and practice development.

The post-holder will help the practice operate safely, effectively and efficiently, while supporting a positive working environment and high-quality patient experience. The role will have access to confidential information and therefore requires a high level of confidentiality, integrity and discretion.

This is a hands-on management role, and the successful candidate will be expected to support the wider practice team when needed, including providing occasional reception or administrative cover and adjusting their start or finish time to support staffing requirements.

The Assistant Practice Manager will be an integral member of the general practice team and will be supported through induction, ongoing learning and development

Job description

Key Responsibilities

  • Support the Practice Manager with the day-to-day running and development of the practice.
  • Provide leadership, guidance and support to staff, promoting a positive and effective working environment.
  • Deputise for the Practice Manager when required.
  • Support recruitment, induction, appraisals, staff development, training and staff welfare.
  • Assist with performance, disciplinary and grievance processes where appropriate.
  • Support QOF, enhanced services, CQC compliance, clinical governance, safeguarding, audits and quality improvement.
  • Support the management of patient complaints, patient experience and DNA processes.
  • Assist with practice reporting, business planning and service development.
  • Support IT systems, information governance, data reporting, clinical searches and patient online services.
  • Support premises management, health and safety, risk assessments, mandatory training and practice security.
  • Work collaboratively with GPs, clinicians, administrative staff and the wider multidisciplinary team.
  • Provide occasional reception and administrative cover and support the wider team during staff shortages or periods of increased workload.
  • Contribute to practice meetings, the Patient Participation Group, shared learning and continuous improvement.
  • Maintain confidentiality, integrity and professionalism at all times.
  • Undertake other reasonable duties appropriate to the role as required.
