The Burns Practice is looking to recruit a Senior Administration Assistant to join our team. This is a permanent post of 37.5 hours per week between the hours of 8am to 6pm, Monday to Friday.
Main duties of the job
The Senior Administration Assistant provides comprehensive administrative and secretarial support to the Senior Management Team and wider practice, ensuring the efficient day-to-day running of administrative services. The role is responsible for coordinating a range of patient administration processes, including disease recall programmes, referrals, medical reports, clinical rotas, registrations, and patient record management. The postholder will produce agendas and minutes for meetings, maintain accurate clinical records in line with GDPR and practice policies, manage correspondence and clinical systems, and liaise effectively with patients, healthcare professionals, and external organisations.
Job description
The Senior Administration Assistant will provide comprehensive administrative and secretarial support to the practice, Senior Management Team, clinical staff and wider healthcare team, ensuring the smooth and efficient delivery of patient services.
The role will involve managing a range of clinical administration processes, including patient registrations, summarising, GP2GP transfers, disease registers, recalls, chronic disease reviews, baby immunisations, postnatal care, clinical coding and appointment coordination. The postholder will support the management of nurse rotas, clinic templates and service specific appointments.
Key responsibilities include processing referrals, medical reports, Subject Access Requests (SARs), ReSPECT forms and clinical correspondence, as well as responding to enquiries from patients, relatives, healthcare professionals and external agencies. The role will require accurate maintenance of patient records, effective use of clinical systems such as SystmOne, and ensuring all information is handled confidentially and in line with GDPR and practice policies.
The postholder will provide general administrative support, including meeting coordination, minute taking, maintaining administrative systems, monitoring tasks and emails, ordering supplies, processing post, assisting with data collection and providing cover during staff absences to maintain continuity of service.
The successful candidate will demonstrate excellent communication skills, strong organisational abilities, attention to detail, the ability to prioritise workloads, and the confidence to work independently as well as part of a wider team.
