Team Secretary to Head of Psychology and Lead Psychologists

Band 4

30 hours per week.

To provide full secretarial and administration support to assist in the Head of Psychology & Psychology Leads and his/her team(s), to include Integrated Group Therapies (IGT) in the absence of their administration support. This will include ensuring reports, minutes, policies, confidential information, audio typing, general documents and correspondence are typed and sent to the appropriate agency within the agreed timescale. You will be liaising with both internal and external stakeholders and will be the main point of contact for the psychology department.

Main duties of the job

To provide a comprehensive administrative and secretarial support to the Head of Psychology & Psychology Leads and his/her team(s) which includes ensuring that reports, minutes, policies and confidential information, audio typing, general documents and correspondence are typed and sent to the appropriate agency within the agreed timescale.

To ensure the Head of Psychology and lead psychologists are prepared for any meeting, conferences and other commitments in advance to ensure effective participation as requested.

To assist in maintaining the electronic diary of the Head of Psychology and arrange appointments, meetings both internally and externally, including venue, hospitality, travel and accommodation where necessary.

To organise meetings when required, book venues, take minutes and arrange hospitality when required by the Lead Psychologists. Minutes are to be distributed in a timely manner. These meetings include the monthly Psychological Services Advisory Group and Team Psychology Meetings

To deal with all incoming post and emails to ensure that all actions, dates of meetings, and other relevant information is processed as appropriate. To use initiative to draft responses on behalf of the Head of Psychology. Address general enquiries; take messages and action as appropriate.

To take responsibility for the safe keeping and tracking of information / confidential files in your possession or leaving your possession.
