Job summary

We are seeking a professional and organised Part-Time Medical Secretary to provide administrative and secretarial support within our busy GP practice. The successful candidate will be responsible for managing clinical correspondence, processing referrals, maintaining accurate patient records, liaising with hospitals and community services, and supporting clinicians with day-to-day administrative tasks.

The ideal candidate will have excellent communication and organisational skills, strong attention to detail, and the ability to work confidentially and efficiently in a healthcare environment. Previous medical secretarial or NHS primary care experience is desirable, along with proficiency in Microsoft Office and clinical systems.

This role requires a patient-focused approach, the ability to prioritise workloads, and a commitment to delivering high-quality administrative support to the practice team.

Main duties of the job

  • Manage and process incoming and outgoing clinical correspondence, including letters, reports, and test results.
  • Prepare and submit referrals to secondary care, community services, and specialist clinics.
  • Maintain accurate and up-to-date patient records in accordance with NHS and practice policies.
  • Liaise with hospitals, consultants, community services, and other healthcare professionals regarding patient care.
  • Provide administrative support to GPs and other clinicians, including document management and diary coordination where required.
  • Monitor referral pathways and follow up outstanding appointments, reports, or correspondence.
  • Ensure all work is completed in line with confidentiality, data protection, and information governance requirements.
  • Respond to telephone and email enquiries from healthcare providers and patients as appropriate.
  • Support the practice team with general administrative duties to ensure the smooth running of clinical services.

Job description

The Medical Secretary provides comprehensive administrative and secretarial support to GPs and the wider clinical team, ensuring the efficient management of clinical correspondence, referrals, and patient-related documentation. The role involves maintaining accurate patient records, liaising with hospitals and other healthcare providers, processing referrals and reports, and supporting the smooth delivery of patient care. The post holder must demonstrate excellent organisational skills, attention to detail, confidentiality, and the ability to work effectively in a busy primary care environment while providing a high standard of administrative support.
