Part-Time Medical Receptionist 30 hours per week (SystmOne) 12 Month Fixed-Term Contract
Usual shifts ;
Monday 8:30am to 6pm
Tuesday 2pm-6pm
Wednesday 1:30pm -6pm
Thursday 2pm-6pm
Friday 8:30am to 5:30pm ( Totalling 30 hours per week)
Please note that this position is for a fixed term of 12 months only
The applicant must be able to do additional hours and preferably BE ABLE to work flexible hours between 7am 6:30pm to cover staff leave.
Also includes the requirement to work an additional Saturday / Sunday once or twice per month. (weekend shift times will vary)

- Opening an closing the practice
- Responding to e-mail enquiries on behalf of the practice
- Reception and routing of patients on arrival.
- Arrange appointments, telephone appointments and home visits
- Data entry onto medical record
- General administrative duties
Job description
Key Responsibilities
- Manage the Practice appointment system and process appointment requests by telephone, in person and online.
- Answer telephone calls and deal with patient queries professionally and efficiently.
- Welcome patients and provide appropriate signposting to Practice and external services.
- Monitor and respond to the Practice generic email account.
- Process incoming and outgoing correspondence, including scanning and attaching documents to patient records.
- Process clinical letters and documentation using SystmOne.
- Register new and temporary patients and maintain accurate patient demographic information.
- Obtain relevant hospital results and documentation when required.
- Arrange patient transport and interpreter services.
- Complete basic referrals under clinician instruction.
- Maintain accurate patient records and undertake appropriate coding.
- Support the Practice with patient recalls, including Diabetes and CKD searches and contacting patients to arrange appointments.
- Participate in reception, lunch cover, opening and closing duties.
- Support colleagues with administrative tasks and provide cover during staff absence.
- Maintain a clean, tidy and organised reception environment.
- Monitor reception equipment, supplies and relevant checks.
- Record significant events and report concerns appropriately.
- Participate in audits, training and Practice improvement activities.
- Maintain mandatory training and work in accordance with Practice policies, procedures and confidentiality requirements.
- Undertake other reasonable duties required to support the smooth running of the Practice.
The postholder will work closely with clinical and administrative colleagues to provide a high-quality, patient-centred service and contribute positively to the overall patient experience.
About us
We are a friendly, busy 2 partner GP practice and are currently looking for a receptionist to work 30 hours per week. Previous experience of working in a patient centered role will be an advantage especially exposure in general practice.
The successful applicant will need to be compassionate, highly motivated, adaptable and flexible. As part of the reception team the candidate will need excellent verbal, written and IT skills, communication and people skills along with the ability to work as part of a team. Applicants must possess the ability to work under pressure, prioritise and multitask.
