Ramsbottom Medical Practice is looking for an enthusiastic, organised, & reliable Medical Secretary / Reception Support Assistant to join our busy & friendly team. The hours are 32.5 to 37.5 & the pay is NLW.

This is an excellent opportunity for someone with strong administrative skills, good typing ability, and confidence using computer systems who enjoys helping people and working in a healthcare environment. Previous NHS or GP practice experience is welcomed but not essential, as full training will be provided for the right candidate.

You will be someone who enjoys being organised, takes pride in producing accurate work, and is confident using computers & learning new systems. You will be able to communicate professionally with patients, hospitals, & colleagues while maintaining the highest standards of confidentiality.

Main duties of the job
What You'll Be Doing
Medical Secretary Responsibilities
- Preparing & typing clinical correspondence, referrals, reports, & patient documentation.
- Processing NHS referrals accurately and within agreed timescales.
- Managing incoming & outgoing correspondence.
- Liaising with hospitals, community services, & patients regarding appointments & referrals.
- Updating & maintaining accurate patient records.
- Scanning, filing, & managing confidential documentation.
- Supporting GPs & clinicians with a range of administrative tasks.
Reception Support Responsibilities
- Providing reception cover when required.
- Welcoming patients & visitors in a professional and friendly manner.
- Answering telephone calls & dealing with enquiries efficiently.
- Booking, amending, & cancelling appointments.
- Processing patient registrations & updating patient details.
- Assisting patients with online services & practice systems.
- Supporting the practice with general administrative duties.

Job Summary
The post holder will provide comprehensive secretarial and administrative support to the clinical team whilst also supporting the reception function of the practice as required.
The role involves managing referrals, processing correspondence, audio/copy typing, liaising with patients and external healthcare providers, and assisting with the smooth day-to-day running of the practice reception service.
The post holder must maintain strict confidentiality at all times and work in accordance with practice policies, NHS guidance, GDPR, and information governance requirements.
What We're Looking For
Essential Skills and Experience
- Excellent typing and keyboard skills with good attention to detail
- Comfortable using computers and everyday software, including Microsoft Word, Outlook, and other office applications
- Previous administrative, secretarial, or customer service experience
- Strong organisational skills and the ability to manage competing priorities
- Excellent communication and interpersonal skills
- A professional, caring, and confidential approach when dealing with patients and sensitive information
- Ability to work effectively both independently and as part of a team
Desirable Skills and Experience
- Experience working in a GP practice, NHS, or healthcare setting.
- Knowledge of NHS referral processes.
- Experience using EMIS Web
- Audio typing experience.
- Understanding of medical terminology.
