Job summary

An exciting opportunity has arisen for a full-time Endoscopy Booking Coordinator within the University Hospitals Bristol and Weston NHS Foundation Trust.

The post holder will be responsible for coordinating day-case admissions in accordance with the Trust's Patient Access Policy, local Referral to Treatment (RTT) guidance, admission booking procedures, and relevant insourcing and outsourcing arrangements.

The Admissions Booking Coordinator will oversee the effective administration and coordination of day-case endoscopy services, ensuring that bookings are managed accurately, efficiently, and in a timely manner. The post holder will also be responsible for responding to and resolving escalated queries and issues raised by patients and staff, providing a high standard of customer service and support throughout the patient journey.

The role requires a strong commitment to delivering high standards of patient care and experience. The post holder will be expected to always demonstrate and uphold the Trust's values, ensuring that patients are treated with dignity, respect, compassion, and professionalism.

Main duties of the job

Manage patient bookings: Contact patients by phone to arrange, confirm, cancel or rearrange endoscopy admissions and appointments.

Maintain waiting lists: Regularly check, update and validate inpatient and day-case waiting lists, including identifying patients who have been waiting too long.

Deal with patient queries: Act as a main point of contact for patients and relatives, answering questions and escalating clinical or complex issues when necessary.

Coordinate endoscopy lists: Help ensure endoscopy lists are fully utilised and that patients are booked into available slots appropriately.

Update NHS systems: Accurately enter and maintain patient and admission information on the Trust's electronic systems and databases.

Work with different teams: Communicate with clinicians, administrative staff, Medical Workforce and other departments across the Trust.

Handle a busy workload: Work independently, prioritise competing tasks and respond to changes such as staff sickness, timetable changes and operational pressures.

Provide good patient care: Deal with patients and relatives professionally and empathetically, including when they are anxious, upset or frustrated.

Support improvements: Help introduce new booking processes and systems and assist with training new members of the team.
