Prospect Hospice is looking for a Clinical Administrator to join our Clinical Administration Team. This rewarding role provides vital support to our Patient Services teams, helping to ensure patients and families receive exceptional end-of-life care across Swindon, Marlborough and North East Wiltshire.
In a recent staff survey, 100% of staff said they would be happy with the standard of care provided if a friend or relative needed treatment, and 98% said the work they do has meaning and purpose.
Hours: 15 hours a week - The exact working pattern can be agreed with the successful candidate. However, due to service requirements, availability on Wednesdays and Fridays is essential.

Main duties of the job
As a Clinical Administrator, you will provide comprehensive administrative support across our Patient Services teams. You will play a key role in ensuring our services run efficiently and effectively, supporting clinical colleagues to deliver outstanding care to patients and their families.
You will often be the first point of contact for patients, carers and healthcare professionals, requiring a calm, professional and compassionate approach when responding to enquiries and managing sensitive information.
This is a varied and rewarding role which combines customer service, administration, clinic coordination and data management. Your work will help ensure patients receive the right support at the right time.
Job description
Key responsibilities include:
Providing administrative support across all Patient Services teams.
Managing incoming telephone enquiries from patients, carers and healthcare professionals, ensuring calls are handled with sensitivity and directed appropriately.
Processing hospital and community referrals using electronic patient record systems.
Supporting the administration and coordination of specialist community clinics.
Maintaining accurate patient records, including filing, scanning and archiving documentation.
Managing incoming and outgoing correspondence.
Producing activity reports, caseload information and other service data.
Raising purchase orders and supporting invoice reconciliation.
Supporting the booking of agency staff and maintaining rotas when required.
Arranging meetings, preparing agendas and taking accurate meeting minutes.
Ordering equipment, medical supplies, stationery and uniforms.
Supporting service improvement through the development of efficient administrative processes.
Ensuring all information is managed securely and in line with GDPR requirements.

You will be confident communicating with a wide range of people, able to work under pressure and skilled at managing competing priorities while maintaining attention to detail.
