Job summary
Anfield Group Practice is looking for a Receptionist/Administrator to work in our friendly, extremely busy GP surgery.
The contract is permanent
Hours of work would be within our practice opening hours being Monday 1.30pm to 6.30pm, Tuesday 1.30pm - 8.00pm, (minus 30 mins unpaid break) Wednesday 12.30pm - 6.30pm Thursday 2.00pm - 6.30pm and Friday 2.00pm - 6.30pm Occasional Saturday mornings (optional)
The successful candidate will be highly motivated, confident, enthusiastic, can answer telephones in a professional and courteous manner, with excellent communication, listening and administration skills. The candidate would also require excellent keyboard skills.
Main duties of the job
You will project a positive and friendly image to patients and other visitors, whether in person, via the telephone, emails or online.
Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.
Undertake a variety of administrative duties to assist in the smooth running of the practice.
Facilitate effective communication between patients, members of the primary health care team, secondary care and other associated healthcare agencies.
Process repeat prescription requests in accordance with practice guidelines
Process and recording information in accordance with practice procedures and scanning of clinical documents.
When dealing with patients, you must be polite, compassionate and discrete.
Job description
The following are the core responsibilities of the Receptionist. There may be on occasion a requirement to carry out other tasks. This will be dependent upon factors such as workload and staffing levels. These duties include -
- Maintain and monitor the practice appointment system
- Process personal, telephone and e-requests for appointments
- Answer incoming phone calls, transferring calls or dealing with the patients' request appropriately
- Signpost patients to the correct service using our new care navigation tool
- Initiating contact with and responding to, requests from patients, team members and external agencies
- Photocopy documentation as required
- Data entry of new and temporary registrations and relevant patient information as required
- Input data onto healthcare records as necessary
- Direct requests for information, i.e., SAR, insurance/solicitors letters and DVLA forms to the administrative team
- Manage all queries as necessary in an efficient manner
- Maintain a clean, tidy, effective working area at all times
- Monitor and maintain the reception area and notice boards
- Support all clinical staff with general tasks as requested
- Monitor stationery supplies and advise restocking orders
- Ensure repeat prescriptions are processed accurately and efficiently
- Action incoming emails and correspondence as necessary
