Job summary
We are seeking a motivated and enthusiastic person to join the Assurance, Compliance and Evidence (ACE) Team, a small and specialist team within Learning, Development and Culture.
This is an exciting opportunity to provide essential administrative support for learning and development activities across the Trust. The role focuses on supporting training programmes, maintaining learning records within the Electronic Staff Record (ESR) system, and acting as a first point of contact for e-learning and course-related enquiries. You will also play an important role in the day-to-day running and upkeep of the Learning and Development Centre.
Full time 37.5 hours per week Monday Friday 08:30-16:30

Main duties of the job
Monitoring and answering course and ESR related queries in the Learning and Development Generic inbox.
Provide support to staff both face to face and over the phone.
Course management, support with the creation of new dates and advertise in the appropriate trust comms.
- Sending joining instructions to delegates
- Sending attendance sheets to trainers
- Updating the class when the attendance sheet has been returned
Updating data on ESR (marking people as complete, withdraw etc) and ensure the data is kept tidy by closing classes.
Support with the creation of new courses when requested.
Reception Duties which include greeting delegates when they come to training, signposting to rooms and handing out parking passes. Supporting with any technical queries regarding the training rooms presenting equipment.
Building responsibilities, opening up and closing down the centre to ensure the day starts and ends in a tidy and organised manner.
Noting when centre resources are running low so they can be added on the stationary order.
Reporting issues with estates relating to the trainer centres and informing the team.
Contribute to ACE Team projects e.g., keeping the training centre organised.
Communication with internal and external training providers regarding training courses and dates.
Mail management, opening any internal post addressed.
Job description
We are looking for someone with excellent attention to detail who enjoys supporting colleagues and delivering a high standard of customer service. The successful candidate will work closely with teams across the Trust to ensure training information is accurate, up to date and easily accessible to staff.
You will be highly organised, confident using ESR or similar Oracle-based systems, databases and administrative software, and able to manage a varied workload effectively. Strong communication skills, a proactive approach and a commitment to providing excellent administrative support are essential.
