Oxford Health NHS Foundation Trust is seeking a highly motivatedTeam Administratorto join ourSafeguarding Service. This is a rewarding opportunity to provide essential administrative and data management support to a specialist team dedicated to safeguarding children, young people and vulnerable adults.
Working within a busy and dynamic environment, you will play a key role in supporting safeguarding processes across the Trust, helping ensure we meet our statutory responsibilities and maintain the highest standards of care and protection.
As Team Administrator, you will provide comprehensive administrative support to the Safeguarding Service and contribute to the smooth running of day-to-day operations. You will work closely with safeguarding professionals, healthcare colleagues and partner agencies, helping to coordinate communications, manage information, organise meetings and maintain key systems and records.

Main duties of the job
- Acting as a first point of contact for the service, responding to enquiries and signposting appropriately.
- Managing emails, telephone calls, post and Teams communications, ensuring urgent safeguarding matters are prioritised.
- Maintaining databases, spreadsheets and information systems and producing reports as required.
- Supporting the review and extraction of information from electronic patient record systems.
- Organising meetings, preparing agendas, taking minutes and monitoring follow-up actions.
- Coordinating training sessions, workshops, conferences and events.
- Maintaining confidential records in line with information governance requirements.
- Supporting administrative processes within the Multi-Agency Safeguarding Hub (MASH).
- Assisting with departmental record keeping, including annual leave and sickness monitoring.
- Providing guidance and day-to-day support to administrative assistants within the team.About You
We are looking for someone who is:
- An experienced administrator with excellent organisational skills.
- Able to manage competing priorities and meet deadlines in a fast-paced environment.
- Confident using Microsoft Office applications, particularly Excel, Word and PowerPoint.
- Skilled at maintaining databases and producing high-quality reports and correspondence.
- Professional, discreet and committed to maintaining confidentiality.
- Comfortable working collaboratively with a range of professionals and partner organisations.
