Job summary
We are looking for a friendly, organised and motivated Medical Secretary to join our busy and supportive GP practice team. 20 hours per week (Tue 9-5 / Thu 1-5 / Fri 9-5) - you will be expected to cover for annual leave and sickness.
The successful candidate will provide a high-quality administrative and secretarial service to the GPs and wider clinical team. The role will include processing referrals, managing clinical correspondence, preparing and typing letters, liaising with hospitals and other healthcare professionals, and maintaining accurate and confidential patient records.
Previous medical secretarial or NHS experience is preferred but not essential, as full training will be provided. We are looking for someone with excellent organisational skills, attention to detail, good communication skills and the ability to work calmly and efficiently in a busy environment.
Confidentiality and a professional, compassionate approach are essential, as is the ability to work effectively as part of a team.
Main duties of the job
Duties will include:
- Processing and managing hospital and community referrals, ensuring they are completed accurately and within appropriate timescales.
- Preparing, typing and sending referral letters, clinical correspondence and other medical documentation.
- Liaising with hospitals, consultants, community services and other healthcare professionals regarding referrals, appointments and patient care.
- Dealing with patient queries relating to referrals and correspondence.
- Monitoring referral-related tasks.
- Supporting GPs with dictation, letters, reports and other administrative tasks.
- Maintaining accurate and up-to-date patient information whilst ensuring confidentiality and data protection at all times.
- Using the practice clinical system, including SystmOne, to access, update and record information appropriately.
- Working closely with reception, administration and clinical staff to ensure an efficient document and referral workflow.
- Dealing with sensitive and confidential information in a professional and discreet manner.
- Supporting the practice with general administrative duties as required.
- Working within practice policies, procedures and NHS information governance and confidentiality requirements.
- Contributing positively to the practice team and helping to maintain a high standard of patient-centred service.

Main Duties and Responsibilities
- The Medical Secretary will provide comprehensive administrative and secretarial support to the GPs and wider clinical team. Duties will include:
- Processing and managing hospital and community referrals, ensuring they are completed accurately and within appropriate timescales.
- Preparing, typing and sending referral letters, clinical correspondence and other medical documentation.
- Processing incoming hospital letters, clinic correspondence, discharge summaries and other clinical documents.
- Ensuring correspondence is accurately scanned, coded and filed on the patient's electronic medical record.
- Liaising with hospitals, consultants, community services and other healthcare professionals regarding referrals, appointments and patient care.
- Dealing with patient queries relating to referrals and correspondence, escalating clinical queries to the appropriate clinician where necessary.
- Monitoring referral-related tasks and following up outstanding information or appointments where required.
- Supporting GPs with dictation, letters, reports and other administrative tasks.
- Maintaining accurate and up-to-date patient information whilst ensuring confidentiality and data protection at all times.
- Using the practice clinical system, including SystmOne, to access, update and record information appropriately.
- Prioritising workload effectively and ensuring urgent or time-sensitive correspondence is brought to the attention of the appropriate clinician.
- Working closely with reception, administration and clinical staff to ensure an efficient document and referral workflow.
- Assisting with private medical reports, forms and requests where appropriate.
- Dealing with sensitive and confidential information in a professional and discreet manner.
- Supporting the practice with general administrative duties as required.
- Working within practice policies, procedures and NHS information governance and confidentiality requirements.
