Christiana Hartley Medical Practice is looking for an experienced Medical Receptionist/Administrator to join our well-established and busy GP practice.
This is a varied and rewarding position within our friendly and supportive team. The successful candidate will play an important role in helping us provide an efficient, professional and welcoming service to our patients.
Main duties of the job
The Medical Receptionist/Administrator is a key member of the practice team, providing reception and administrative support to patients, clinicians and colleagues.
As a first point of contact for the practice, you will assist patients and respond to enquiries in person, by telephone and through digital channels. You will help patients access the most appropriate healthcare professional or service while always maintaining a friendly, courteous and professional manner.
The role includes managing appointments and patient requests, taking and passing on messages, processing repeat-prescription requests, handling correspondence and maintaining accurate electronic patient records. You will work closely with colleagues across the multidisciplinary practice team and handle confidential and sensitive information with care and discretion.
We are looking for a motivated, reliable and hardworking individual with excellent communication, organisational and IT skills. You must be able to manage a varied workload, remain calm under pressure, work effectively as part of a team and use your own initiative when appropriate.
Previous experience within a GP practice or similar healthcare environment is essential.

Key responsibilities will include:
- Opening and closing the practice premises and maintaining security in accordance with practice policies and procedures.
- Welcoming patients and visitors in a friendly, professional and courteous manner.
- Responding to patient enquiries in person, by telephone and through digital channels.
- Processing requests for appointments, home visits and telephone consultations, ensuring patients are directed or signposted to the most appropriate healthcare professional or service.
- Managing the appointment system, including booking, amending and cancelling appointments.
- Taking accurate messages and ensuring information is passed promptly to the appropriate person.
- Processing and distributing incoming and outgoing correspondence, including post, emails and electronic communications.
- Monitoring and using practice email accounts and the intranet in accordance with practice procedures and information-governance requirements.
- Processing repeat-prescription requests in accordance with practice policies and procedures.
- Entering, updating and allocating information accurately within patients electronic records.
- Processing, recording and collating information in accordance with practice procedures.
- Liaising professionally with clinicians, colleagues, patients and external healthcare organisations.
- Maintaining patient confidentiality and handling sensitive information with care and discretion at all times.
- Supporting the wider reception and administrative team to ensure an efficient service for patients.
- Complying with practice policies relating to health and safety, confidentiality, data protection, equality and information governance.
- Undertaking other appropriate reception and administrative duties required to support the effective running of the practice.
