Job summary
We are looking for an enthusiastic, highly organised and motivated Administrator to join our busy and dynamic Children's Community Nursing Service.
This is an exciting opportunity to become part of a dedicated administrative team that provides vital support to Children's Community Nursing services across the borough. The administrative team plays a key role in ensuring children, young people and their families receive timely and coordinated care by managing appointments, clinic administration, correspondence, and the ordering and delivery of essential medical consumables and equipment that support children with complex health needs in the community.
As an Administrator, you will be responsible for delivering high-quality administrative support across multiple services and clinic locations. Your duties will include coordinating appointments, responding to telephone and email enquiries from families and professionals, maintaining accurate patient records, and supporting the smooth running of clinics. You will also support the ordering, stock control, tracking and distribution of medical consumables and medical equipment used by both staff and patients, ensuring children with complex healthcare needs have access to the supplies required to remain safe and well at home. This is a varied and rewarding role that is essential to the effective operation of the service and the delivery of safe, high-quality patient care.

Main duties of the job
You will provide comprehensive administrative support to the Children's Community Nursing Team, taking responsibility for key processes including:
Booking clinics and coordinating appointments (including interpreters where needed)Processing referrals and supporting the management of patient pathwaysMaintaining accurate patient records and data systems (including RIO and Office 365)Supporting waiting list management and service reportingActing as a key point of contact for parents, carers, and professionalsSupporting audits, service improvement work, and team administration
To be responsible for the ordering, stock control, and monitoring of medical consumables using NHS procurement systems, ensuring adequate stock levels are maintained; to track and coordinate the delivery of consumables to staff and patients, maintain accurate inventories of medical devices used within the service and in patients' homes, and liaise with the Trust's Electronic and Biomedical Engineering (EBME) team regarding the servicing, maintenance, repair, replacement, and decommissioning of medical equipment. You will also contribute to the smooth running of the service through general administrative duties, including meeting support, data management, and reception cover where required

- Act as a first point of contact, responding to enquiries from families and professionals with professionalism, empathy, and confidentiality.
- Support waiting list management, data reporting, and audit activity to underpin service performance and improvement.
- Provide comprehensive administrative support, including meeting coordination, data management, and flexible support to service operations.
- Provide reception cover as and when needed
